Job Description

We are seeking an experienced and dependable Secretary to oversee our administrative activities. Your administrative and clerical help will aid office staff and streamline efficiency. Answering phones, organizing files, scheduling meetings, arranging trips, taking notes during meetings, typing up papers, inserting information into our database, and ensuring office supplies are supplied are all part of the job obligations. Our ideal applicant is self-motivated and has a minimum of one year of secretary experience.

Qualifications:

  • Compile data from files or staff in order to respond to routine enquiries about office programs or monthly reports. Explanation of the organization’s office operations, coordination of staff, and administrative paperwork processing.
  • Make tentative appointments without permission. Make plans to attend conferences and gather relevant background materials. Arrange meetings and gather relevant documents. May attend meetings to record and report.
  • A well-maintained and supplied supply of general office equipment (copiers and printers, fax machines and multifunctional devices, etc.) is essential.
  • Prepare documents for staff to use in conferences, letters, appointments, meetings, and phone calls, and notify organizational representatives of topics to be considered.
  • Outgoing documents and communications should be verified for internal consistency and conformity with the rules and procedures of the firm.
  • Request information from subordinate offices for periodic or special conferences, reports, or inquiries; and meet administrative workload demands.
  • Visitors should be sent to the proper staff members when they call in an inquiry. Send letters on time, keep track of mail delivery, and hand out forms.
  • Maintain internal reports such as time and attendance records, office equipment inventories, correspondence controls, and training programs on a regular basis.
  • Screen incoming phone calls, visitors, and mail; personally react to requests for information about office operations; and assess whether inquiries should be sent to the appropriate organizational representative or other offices.
  • There are many other sources that may be used to create one-of-a-kind reports or summaries, including reports, papers, communications from other departments and other offices.

Skills:

  • The ability to use Microsoft Office, particularly Excel and Word, as well as strong verbal and writing communication skills, are essential for secretarial positions.
  • GED or high school graduation required; two years of college or business school, or similar job experience, and the ability to write strongly recommended
  • Being able to multi-task and prioritize various activities with little guidance while yet producing high-quality work
  • Building and maintaining strong working relationships with colleagues, departments, and the general public are all a component of the job description.
  • An automated system may be used to enter and/or retrieve data, such as a computer.
