Job Description
The Senior Administrative Assistant aids the Chair and Program Directors with administrative tasks. The position involves monitoring the Collaborative budget, preparing teaching schedules, assembling materials for hiring and reviewing faculty, part-time, and student employees, supporting student recruitment and retention activities, carrying out event and programming logistics, and providing faculty with information on relevant University policies and procedures.

Qualifications:
- Office supplies, postage meters, merchant card reconciliation, invoicing and receivables and database management are some of the responsibilities of the Admin Support Supervisor.
- Keep track of all email and list-serv accounts. Oversee the publication of program newsletters and other official documents. In charge of department and program bulletin boards and other on-campus marketing initiatives. Manage the department’s social media accounts. It is your job to keep the department’s and program’s websites up to date and well-planned.
- Calendar management in a fast-paced workplace with numerous competing goals includes responding to all incoming scheduling requests, prioritizing the most important and sensitive items or meetings, interacting with all parties and making sure that meetings are set up for success to be successful
- Help present and future students locate campus resources and advisors. For fundamental student counseling, such as checklists and program criteria, get familiar with program structures and standards. Graduation papers, both major and minor, are processed in this department.
- This role oversees and prepares the meeting schedules for the whole department, in addition to handling the department director’s calendar and coordinating travel arrangements.

- When processing student and part-time job paperwork and professional service agreements, make sure the relevant processes have been followed. Requests for disbursement and reimbursement of travel expenses must be submitted by the specified deadlines. Keep track of monies for administrative units, restricted accounts, and scholarship and reward funds. Submit purchase orders and invoices to cover the cost of goods acquired.
- Assists the Physical Plant Supervisor Specialist in supervising the staff coverage for the department and in re-directing the delegation of work orders duties depending on the coverage that is available within the department on a specific day.
- Answer questions about the department, its programs, and its operations from the public and over the phone. Provide prompt and effective support to guests. Make sure the department’s supplies are maintained and appropriate supplies are available as required. Manage mail and mailboxes for the department, programs, and professors of the respective programs and courses. Retain a complete and accurate record of all office activities. To keep the office running smoothly, make and track any service requests and maintenance requests. Oversee student assistants and work-study students to ensure that duties are completed on time and that the main office is covered.
- The prompt fulfillment of work orders that customers have requested, as well as follow-up with those customers who question about their progress. Any problems with the execution or productivity of work orders should be brought to the attention of your Physical Plant Supervisor Specialist.
Skills:
- Experience with Microsoft Office Suite and skill in Outlook, Word, Excel, and PowerPoint need to be at least three years in length. Qualifications that are Preferred, One year of experience supervising employees, It is recommended if you have experience with Microsoft Teams.
- A high school graduation is a pre-requisite. A bachelor’s degree, certification, or advanced training is desired, but not required. There must be a minimum of eight to ten years of administrative experience, with at least three of those in an executive administrative post.
- Maintaining and compiling accurate records at the department’s office is a primary responsibility of the department manager.
- Comfortable dealing with university administration, employees, and faculty Excellent detail, written and spoken communication, and multitasking abilities essential.
- a bachelor’s degree from a respected college or university, or any combination of training and experience that is similar and fits the criteria.
