Job Description
When clients visit the car lot, it is the receptionist’s job to welcome them, answer their queries, and point them in the direction of the right employee. The receptionist’s duties also include taking messages and directing callers to the proper staff members. Receptionists, like people in all professions, have an obligation to act morally.

Qualifications:
- Answer, screen, and forward incoming calls while providing basic information as needed.
- Performing additional administrative tasks including filing, copying, collating, faxing, etc.
- Use a multi-line phone system to screen and forward calls, answer questions, give information, and take messages.
- Take care of financial tasks like billing and data entry as well as word processing tasks like drafting letters and creating new case files.
- Welcome study participants, visitors, employees, and messengers. Determine the nature and purpose of the visit, then guide or lead them to their desired locations.
- The individual accountable for facilitating requests via the CMMS, doing necessary follow-ups, and providing backup coverage for training.
- Maintain accurate sign-out/sign-in processes for visitors and on-site staff. Ensure personnel whereabouts are known.
- Attend Office of Operations, Finance and Performance Management staff meeting and other meetings as requested.
- Document who has signed out what office supplies and equipment, and keep track of office and filing cabinet keys.
- Organize data gathering and database updates for employees’ information, including new hiring, employee tracking, and annual compliance trainings.
Skills:
- Proven ability to multitask and complete assignments on time.
- Outstanding and polite follow-up, communication, and consideration for clients, staff, and professionals.
- Basic computer skills include being able to use Word, Excel, Access, and PowerPoint.
- Paying close attention to detail is essential for ensuring that any issues reported to the front desk are properly recorded and addressed in a timely manner.
- Working as a receptionist and/or office assistant in a fast-paced environment is a plus.
