Job Description

The ideal candidate for the position of Receptionist will have strong communication and customer service abilities. This individual will be responsible for answering multiple phone lines, using a variety of office machines (including computers, printers, scanners, etc.), and communicating with high-level clients and employees.

Qualifications:

  • Ensure knowledge of personnel whereabouts and maintain complete sign-out/sign-in procedures for visitors and on-site staff.
  • Make use of a phone system with many lines to accept messages and direct callers, as well as answer questions.
  • Contributing to the office via filing, copying, collating, faxing, etc.
  • Participate in staff meetings for the department of operations, the department of finance, the department of performance management, and other departments as needed.
  • Greeting guests, personnel, messenger services, and participants in research studies. The nature and goal of the visit should be determined, and guests should be guided or escorted to their destinations.
  • Manage the process of adding new employees, keeping track of current ones, and updating the database used to record their attendance at required annual trainings for compliance regulations.
  • Maintain office and file cabinet keys as well as sign out ledgers for various office equipment.
  • In addition to taking and forwarding calls, you’ll also be expected to field simple inquiries and provide some background info when asked.
  • Responsible for enabling requests through the Computerized Maintenance Management System (CMMS), as well as for follow-ups and backup training coverage.
  • Manage financial tasks, such as invoicing, data entry, word processing, generating new case files, and letter writing.
