Job Description

We are looking for a capable individual that is a team player, knowledgeable, and practical. The position demands the ability to deliver first-rate customer service in a busy, private setting. The Receptionist is in charge of welcoming members and visitors, taking reservations, routing calls, addressing questions about member accounts, and generally delivering great service to members. various administrative duties and, when necessary, offers support to other team members.

  • Administrative tasks including invoicing, data entry, word processing, generating new case files, and drafting correspondence are taken care of.
  • Make sure that all visitors and employees are properly signed in and depart. Maintain visibility of employee whereabouts.
  • You’ll be expected to answer, screen, and transfer incoming calls while providing some background info as needed.
  • Keep track of office and filing cabinet keys and sign out ledgers for different office supplies.
  • Utilize a multi-line telephone system to screen and forward calls, take messages, and answer calls.
  • Managing requests in the CMMS, following up on them, and providing backup coverage for training sessions are all your responsibilities.
  • Contributing to the office via filing, copying, collating, faxing, etc.
  • Participant in research studies, visitors, employees, and messenger services need to be greeted. Find out why they’re there, then lead or accompany them to specific locations.
  • Manage and maintain an employee database, including but not limited to: new hiring, employee tracking, and annual compliance trainings.
  • Participate in staff meetings for the department of operations, the department of finance, the department of performance management, and other departments as needed.


  • Extreme detail is essential to ensure that any issues reported to the front desk are recorded and addressed in a timely and competent manner.
  • Working as a receptionist and/or office assistant in a fast-paced environment is a plus.
  • Follow-up is excellent and respectful, as is communication and empathy for clients, staff, and professionals.
  • The ability to use word processors, spreadsheets, access, and PowerPoint, as well as surf the web, is considered a minimum requirement for using a computer.
  • Ability to handle several assignments and generate products within short deadlines.
