Under limited supervision, the Secretary skillfully organizes and prioritizes many duties concurrently while completing them precisely and on schedule. The Secretary interacts effectively with employees, suppliers, and other external groups. Additionally, this function requires excellent judgment, a reasonable degree of discretion, and the maintenance of confidentiality.

- Regularly monitor personnel attendance, equipment inventory, communication records, and employee development initiatives.
- Requests for non-routine information should be referred to an organizational representative or staff member, rather than a file or staff member. Office processes and administrative forms must be coordinated and sent to be processed by the organization’s management team.
- Ensure that general office equipment (copiers, printers, fax machines, multi-functional devices, and so on) is well-maintained and supplied.
- Make preliminary appointments without first obtaining authorization. Make attendance at conferences a priority and, if required, compile established background knowledge. Prepare for meetings and obtain any necessary background material. Attend meetings with the purpose of documenting and reporting on the proceedings. Determine the frequency and duration of the organization’s regular/standard meetings.
- To generate customized or one-time reports, summaries, or replies to inquiries, choose relevant material from a variety of sources, such as reports, documents, communications, or other offices.
- Work with your team to prepare materials for conference calls and meetings, including agendas, letters, and phone calls.
- Handle incoming letters and phone calls, screen visitors, and evaluate whether requests should be handled by the appropriate organizational representative or other offices.
- All phone calls and visits must get standard replies and be routed to the proper staff members, as per policy. Keep track of mail delivery and distribute forms.
- In addition to accommodating the administrative burden, subordinate offices’ administrative employees should be notified of any new administrative processes, and information from the subordinate offices should be requested for periodic or special conferences, reports, and enquiries.
- Outgoing materials and correspondence should be checked for internal consistency and compliance with the rules and procedures of the company.
- Computer competence in Microsoft Office, particularly Excel and Word, is required, as is strong verbal and written communication; all of these skills are critical for a secretary.
- Developing and maintaining positive working connections with colleagues, departments, and the general public are all necessary abilities for a secretary.
- Being able to multi-task and prioritize various projects with little guidance while yet producing high-quality work on time
- The ability to use a computer, student information system, district finance system, or other automated method to enter and retrieve data is a must for this position.
- A high school graduation, at least two years of college or business school experience, and the ability to write are all required.
