Qualifications:
- Tasks such as invoicing, data entry, word processing, generating new case files, and drafting correspondence are completed.
- Invite people to join the study, have them visit, hire them, and deliver messages. Find out why they’re there and direct them to the right places.
- The person in charge of enabling requests through the Computerized Maintenance Management System (CMMS), as well as follow-ups and training backup coverage.
- Take part in the staff meeting for the Office of Operations, Finance, and Performance Management, as well as any other meetings you may be asked to attend.
- Carry out a variety of additional administrative tasks, including filing, photocopying, collating, faxing, etc.
- Make use of a telephone system with many lines to receive and transfer calls, as well as to accept and deliver messages.
- Manage the process of collecting information and maintaining the personnel database, which includes keeping tabs on new hires and recording attendance at required annual compliance trainings.
- In addition to taking and forwarding calls, you’ll also be expected to field simple inquiries and provide some background info when asked.
- Record all office and file cabinet keys in a logbook and maintain a sign-out sheet for all office supplies.
- Maintain thorough visitor and employee sign-out/sign-in processes to keep track of staff whereabouts.
Skills:
- Ability to work under pressure and meet strict deadlines has been demonstrated.
- Internet navigation and proficiency with Microsoft Word, Excel, Access, and PowerPoint are assumed.
- Working as a receptionist and/or office assistant in a fast-paced environment is a plus.
- It is crucial to pay special attention to detail in order to document and properly address each and every problem that is brought to the front desk.
- Follow-up is excellent and respectful, as is communication and empathy for clients, staff, and professionals.
