Job Description
We need a receptionist in our office. In this role, you’ll be responsible for a wide range of activities, including data entry, scheduling, acting as a first point of contact, and handling many phone lines at once. The ideal employee is motivated, self-directed, and proficient at juggling multiple priorities at once.

Qualifications:
- Ensure that all visitors and employees are properly signed in and out. The whereabouts of employees must be kept track of at all times.
- Greet participants in research studies, visitors, personnel, and messenger services. Identify the visit’s nature and purpose before directing or escorting guests to their desired locations.
- It is their responsibility to facilitate requests through the Computerized Maintenance Management System (CMMS), as well as follow-ups and backup training coverage.
- Participate in staff meetings for the department of operations, the department of finance, the department of performance management, and other departments as needed.
- filing, copying, collating, faxing, and other clerical duties as needed.
- Tasks such as invoicing, data entry, word processing, generating new case files, and drafting correspondence are completed.
- Make use of a phone system with multiple lines to field inquiries, relay information, take messages, and so on.
- In addition to taking and forwarding calls, you’ll also be expected to field simple inquiries and provide some background info when asked.
- New hiring, employee tracking, and yearly compliance trainings all need to be updated in the employee information database, which you will be responsible for coordinating.
- Sign out ledgers for various office supplies and keep track of office and filing cabinet keys.
