Qualifications:
- Helps guests get registered and badges made up in compliance with security procedures.
- Check that the equipment and surroundings at every workspace adhere to corporate requirements for safety, maintenance, and cleanliness.
- provides a generic response to regular customer questions and refers unusual, delicate, or difficult questions, complaints, or other queries to the corporate office manager.
- maintains up-to-date versions of all relevant documents, including but not limited to records, files, directories, correspondence, and more. manages off-site storage and the shredding of boxes. manages the upkeep and fixing of copy machines.
- Keep an up-to-date list of residents, including their names and room numbers, emergency call staff, department extensions, key personnel, etc.
- Handle special administrative projects, including overflow work from department and executive assistants.
- Engage in and attend mandatory training events (workshops, seminars, etc.), as well as in-service training and on-the-job training programs.
- Using a multi-line telephone system, politely answers and accurately routes all incoming calls for various company departments. Be polite and businesslike when communicating via the office intercom.
- Learn the channels for handling customer grievances and conflicts.
- Make sure visitors/guests follow the guidelines in place and deny admission to anyone who requests it.
Skills:
- has experience setting up meetings and appointments and proven calendar management abilities.
- the ability to prioritize and organize multiple tasks while meeting strict deadlines for writing reports.
- ability to juggle multiple duties, projects, and details at once.
- time-management and multitasking prowess, especially the ability to prioritize work effectively.
- Experience working as a front desk clerk, receptionist, or a similar role is preferred.
