Job Description
We are looking for a highly skilled Senior Administrative Assistant to provide senior executives with highly responsive assistance. You will be responsible for updating calendars, scheduling meetings, arranging travel arrangements, monitoring spending, and organizing building and equipment requirements as a part of the administrative team.

Qualifications:
- Helps the Physical Plant Supervisor Specialist manage personnel coverage and reroutes work order activities based on available coverage.
- Schedules and arranges appointments, makes travel arrangements, and completes travel reimbursement paperwork; organizes and schedules department meeting calendars.
- Answer questions about the department, its programs, and its operations from the public and over the phone. Provide prompt and effective support to guests. Make sure the department’s supplies are maintained and appropriate supplies are available as required. Manage mail and mailboxes for the department, programs, and professors of the respective programs and courses. Retain a complete and accurate record of all office activities. To keep the office running smoothly, make and track any service requests and maintenance requests. Oversee student assistants and work-study students to ensure that duties are completed on time and that the main office is covered.
- Help students and potential students find university services and faculty/staff advisers. Build knowledge with program structures and requirements to give basic student counseling, such as checklists and program requirements. Student documentation for majors/minors.
- The use of electronic means of communication, such as email and mailing lists. Organize official correspondence, such as emails and bulletins. Bulletin boards and campus marketing campaigns. Make sure you’re up to date on social networking. Keeps department and program websites up to date.
- When processing student and part-time employment papers and professional service agreements, be sure the necessary protocols have been followed. Requests for disbursement, as well as travel reimbursements, are due on time. Track administrative unit funds, restricted accounts, and award/scholarship funds. Pay for items purchased by submitting purchase orders and bills.
- Watches how quickly and how well work orders sent to the Engineering Staff are finished, and follows up with people who want to know the status of work orders they sent. Sends information about work order delays, problems with completion, or concerns about productivity to the Physical Plant Supervisor Specialist for further evaluation.

- Calendar management in a fast-paced environment with many competing priorities includes responding to all incoming scheduling requests, prioritizing the most urgent and sensitive matters or meetings, communicating with all parties and making sure that meetings are set up for success to be fast and effective
- Office supplies, postage meters, merchant card reconciliation, invoicing and receivables and database management are some of the responsibilities of the Admin Support Supervisor.
Skills:
- The ability to communicate and interact with a wide range of university officials, employees, and faculty members, The ability to multitask, pay close attention to detail, and communicate well in writing and orally are all essential requirements.
- five years of administrative support experience, an associate’s degree in business, public administration, or a field that is similarly equivalent from a respected college or university, or any combination of training and experience that is comparable and fulfills the criteria.
- The department manager’s main job is to keep and put together accurate records at the department’s office.
- Minimum three years’ experience with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). Preferences, Needs Previous familiarity with Microsoft Teams is preferred.
- Having a degree is required. Education and experience beyond high school are required. Extensive experience in the insurance business (at least 3 years as an executive assistant) and a bachelor’s degree preferred.
