Job Description

The position of Office Manager is open at this time. The Office Manager’s primary responsibility is to ensure that all programs run smoothly, orderly, and efficiently through the systemic management of phones, registration, front desk staff, etc. A focus on patients increases the importance of “customer service” and working well with other parties.

  • We organize everything from floor plans to lease agreements to workplace automation systems.
  • Answers phones and creates standard mail, memoranda, and reports from drafts to provide customer support to internal and external parties.
  • Assists in preparation and maintenance of contracts and contract proposals.
  • Coordinates the administrative functions for the department such as billing, accounting, payroll and other related activities, as needed. Develops systems/reports which guide and support administrative operations, as needed.
  • Provides assistance with routine administrative duties including as scheduling, trip planning, and routine correspondence for managers, directors, executives, and officers.
  • Set aside time to meet and talk about how to get everything done.
  • As needed, organizes, plans, and attends department/program meetings, retreats, trainings, and events.
  • Potentially serves as single point of contact for disseminating data between agencies, organizations, and geographic areas.
  • manages day-to-day business activities like acquiring office supplies, arranging for repairs to the facility, and keeping the premises in working order. ties with suppliers are established and kept up, especially through the asking of estimates.
  • Assistance with tasks like hiring, orientation, performance reviews, and performance assessments, as well as paperwork processing and maintaining employee records, are all within the realm of possibility when it comes to human resources.


  • Required qualifications include either a Bachelor’s degree or an equivalent combination of education and relevant work experience.
  • I am a person who is service-oriented, reliable, careful, adept at juggling multiple priorities at once, and humorous.
  • Ability to prioritize, plan, and organize tasks, as well as use independent judgment under supervision.
  • Learning how to use office equipment, collect data, use standard office automation software, and go about making purchases are all necessities.
  • Capacity to always protect sensitive firm data, including but not limited to trade secrets and employee/employer information.
