Job Description
As a Secretary, you will be responsible for providing clerical and administrative assistance in order to improve office workflow practices. By assisting colleagues and executives with information preparation and distribution, you will be of use to them. You’ll be the go-to person for any questions, requests, or problems, and you’ll be an important member of the team.

Qualifications:
- New administrative procedures should be conveyed to the administrative staff of the subordinate offices, and information from the subordinate offices should be sought for periodic or special conferences, reports and inquiries as well as to accommodate the administrative load.
- Telephone calls, visits, and incoming letters are screened; personal answers to requests for information about office procedures are made; and decisions are made on whether requests should be handled by the proper organizational representative or other offices.
- All phone calls and visits must get standard replies and be routed to the proper staff members, as per policy. Keep track of mail delivery and distribute forms.
- Monitor employee attendance, equipment inventories, communication logs, and learning plans on a regular basis.
- Requests for non-routine information should be referred to an organizational representative or staff member, rather than a file or staff member. Office processes and administrative forms must be coordinated and sent to be processed by the organization’s management team.
- It is essential to have a well-maintained and well-stocked supply of general office equipment (copiers and printers, fax machines and multifunctional devices, and so on).
- Establish essential documentation and educate organization representatives about the topics that must be addressed during conference calls, letters, appointments, meetings, and phone conversations.
- Before being sent out, outgoing papers and communications should be checked for internal coherence and conformity to organizational rules and procedures.
- If you want to create one-off or customized reports, summaries, or answers to questions, you may choose relevant content from a number of sources such as reports and documents.
- Do not make a reservation without first obtaining permission. Make plans to attend conferences and compile any necessary background information. Assist in organizing meetings and putting together necessary background information. Can attend meetings and document them for a report.
Skills:
- A high school diploma, two years of college or business school experience, and the ability to write are all required for this role.
- Using a computer, student information system, or other automated system, input and/or retrieve data.
- Microsoft Office skills, including proficiency in Excel and Word, are essential for a secretary, as are good verbal and written communication skills.
- Workers, departments and members of the general public must all be able to work together effectively.
- With little or no supervision, successfully manage and prioritize several projects while completing assignments on time and on budget.
