Qualifications:
- Writes back to general phone calls and emails and sends them to the right project team member as needed.
- This includes accounting, payroll preparation and review, personnel file administration and storage, supply requisitioning, and other administrative tasks.
- Helps the management team with general office work, such as writing letters, keeping track of files, setting up appointments, photocopying, faxing, and arranging travel.
- Job duties in Benefits Administration include welcoming and directing guests, supporting colleagues in using facilities, and operating and maintaining services.
- Daily cash receipts, petty cash, files and personnel records are organized.
- Screens calls and access for high-level jobs, deciding if individuals need face-to-face meetings, which are then sent to other managers or settled if possible. Schedules and plans a wide range of appointments, meetings, and travel arrangements, both basic and complex.
- Incoming issues and concerns are researched, prioritized, and followed up on, particularly if they are of a sensitive nature. Determines the most effective course of action and attempts to implement it.
- Creates and supervises conventional correspondence practices, such as overnight delivery of documents.
- Manages the Division Head’s calendar, composes and prepares communications, prepares agendas, and compiles documentation.
- General administrative assistance for projects, including but not limited to the use of word processing and photocopying equipment as well as the procurement of project supplies.
Skills:
- Strong organizational abilities with strong attention to detail.
- Knowledge of business and management concepts related to strategic planning, resource allocation, human resource modeling and administration, production processes, and resource coordination.
- Demonstrated ability to handle confidential information with discretion, adapt to different demands, and provide the best service and response to customers and clients.
- Microsoft Office programs, such as Outlook and Word, as well as Microsoft Excel, PowerPoint, and Access, as well as web-based applications, are required. Create intricate papers, do research, and maintain databases.
- Two years of administrative experience and an associate degree from an authorized community college or university
