Qualifications:
- carries out particular administrative tasks including processing invoices and expense reports and buying office supplies as necessary.
- Creates documents (reports, letters, memos) and uses software (Word, PowerPoint, Excel) to assist in the creation of other documents (presentations, etc.).
- acts as a host to visitors who have come to meet with high-ranking executives, showing them to their meeting rooms and escorting them if necessary.
- Put together company documents for the team and clients.
- Help with meeting preparations, such as setting up workstations and preparing presentations, and attendance at board meetings.
- Field calls, answer emails, and chat with customers while managing the executive inbox.
- ability to multitask well, prioritize work, and stay committed to both short- and long-term goals.
- Controls the CEO’s schedule by setting up appointments, resolving conflicts, assigning importance, and informing relevant parties of last-minute changes or requests.
- Prepare ahead of time by making itineraries and scheduling activities.
- to collect data, conduct analyses, and draft reports for executive consumption and presentation.
Skills:
- at least two years’ experience as an executive assistant, preferably in a fast-paced environment.
- Skilled at using Outlook, Word, Excel, SharePoint, and PowerPoint as well as the rest of the Microsoft Office suite.
- Excellent multitasking skills; great organizational, project management, and problem-solving skills.
- Ability to function in a fast-paced dynamic workplace and sometimes under pressure (deadlines, etc.)
- Experience with common office machines like phones, scanners, fax machines, and photocopiers is a plus.
